Logging into the device

To log into the application, ensure the screen is unlocked and tap your card on the back of the device.

This will only work if the device is online, as indicated by a bar at the bottom of the screen: light blue for online, oppressive red for offline.

Should the device be offline, perhaps you're offsite or the wireless network signal is weak, then once you've tapped your card, the application will ask you for a PIN; I'm not going to write that here, but you if you don't know it, someone in your school office should.

Only members of staff can unlock the application.

Function selection

The application can be used to collect attendance data for a few different purposes.

Module Attendance is used to record students' attendance at teaching sessions, such as lectures or seminars. The new wall-mounted attendance devices can be used for this instead, so long as the session is in the timetabling system.

Event Registration is used to record attendance at CRM-driven events, such as employer events or sessions hosted by careers / welfare.

Exam Monitoring is used to record students' attendance at examinations.

Enrolment Process is used to record students' turning up to and completing enrolment.

Exam Monitoring Setup

When recording attendance for an examination, the application needs you to fill in just a few pieces of information.

Room/Location where the examination is taking place.

Date that the examination takes place on. This is be initially populated with today's date; in most cases you won't need to change it.

Time at which the examination is scheduled to begin. This will snap to the next half hour, so if you're setting this up too far in advance then you may have to set it to the correct start time for the examination.

Selecting the Room

To select a room, click into the search bar, which should read 'Loaded XXX Rooms', then start typing on the keyboard that appears.

As you type, a list of rooms below the search bar will show a filtered list of rooms. If there are a lot of rooms that match your query, then you can scroll up and down that list with your finger.

Once you see the room that you're after, click on it.

Selecting the Date

If you find that the date displayed does not match the required date, click on it and a date picker will appear on the screen.

Once you've selected your desired date, click OK.

Selecting the Start Time

To set the start time, click on it and you'll be shown a time picker.

Select the time, hour first, then the minute.

Once you've selected your desired start time, click OK.

Ready to Record Attendance

Once you've filled in the information required, you're ready to start recording attendance: click Go.

Recording Attendance

The details for your sessions will be displayed at the top of the screen: the room, date and start time.

Register Count keeps a tally of the number of students that have been recorded against this session, on this device.

Forgotten Card allows you to enter attendance for a student that has forgotten their card, either by entering their Username or Student ID (Person Number). Additionally, the forgotten card feature allows you to end a session that was opened (started) by another member of staff.

Swiping in from the left of the screen or pressing the burger icon (three horizontal lines) in the top left corner of the screen will display a register of all students that have been recorded against this session, on this device.

Ending the session is done by once again tapping your card on the back of the device. If you're not the member of staff that opened (started) the session, see the section on Ending the Session for more guidance.

Attendance Recorded

When a student's card is tapped on the back of the device, their name will appear at the bottom of the screen and the register count will increment.

If the tap was unsuccessful, then a message will appear at the bottom of the screen instead that will indicate the issue.

Should the device is offline, the student's name cannot be gleaned from the attendance service and so the message will simply read Registered.

If the application is online, all attendance is recorded in real-time, i.e. as soon as the student tap their card, their recorded on our central system.

If the application is offline, then all attendance data is stored on the device and is uploaded to the central system once it's back online again. If you're recording offline, make sure that you get the device back to a university building, or to somewhere with better wireless signal so that this process can take place.

Forgotten Cards

In the case that the student has forgotten their card, they can be marked as attending by clicking Forgotten Card and entering either their Username or Student ID (Person Number)

To enter one of these identifiers for the student, click into the input box, which will initially read Username/Student ID and type it in using the keyboard that appears on the screen, then click Done.

Similarly to if a student's card is tapped, the bottom of the screen will either show the student's name and the count will increment, or an error message will appear instead.

The Register

Swiping in from the left of the screen or pressing the burger icon (three horizontal lines) in the top left corner of the screen will display a register of all students that have been recorded against this session, on this device.

The register will contian a list of the names of the students that have been recorded whilst the device has been online; any that have been recorded whilst the device was offline will show as blank rows, sorry.

In the top right-hand corner of the register is the count of students that have been recorded at this session, on this device.

Swiping the screen from right to the left will close the register view, likewise clicking the screen anywhere on the right will do the same.

Ending the Session

Once you're done, you can end the session by tapping your card on the back of the device.

If you don't have your card, or the session was opened (started) by another member of staff, then you can close the session by clicking Forgotten Card and entering a super-secret code. If you don't know this code, then someone in your school office should.

Either way, once initiated, you'll be prompted for confirmation: Yes to end the session, No to go back to it.

If the application is online, all attendance is recorded in real-time, i.e. as soon as the student tap their card, they're recorded on our central system.

If the application is offline, then all attendance data is stored on the device and is uploaded to the central system once it's back online again.
